Public Private Strategies (PPS) seeks an Executive Scheduler to act as personal timekeeper for the Executive Leadership team (ELT), orchestrating their schedules and managing both internal and external meeting requests. This role reports to the Chief Operating Officer (COO) and collaborates closely with the entire ELT.

 

This position requires a detail-oriented, communicative individual who thrives in a fast-paced environment. Ideal candidates will have complex scheduling and/or advance team experience in a congressional office, political campaign, or other proven scheduling support in a dynamic organization.

Key Responsibilities:

  • Scheduling and Logistics
  • Maintain the master schedules and details for calls, appointments, and meetings
  • Proactively manage all logistics for meetings and events, prioritizing conflicting needs under tight deadlines, updating constantly shifting calendars, and communicating last-minute changes to internal and external teams and attendees
  • Collaborate with the team to prepare the ELT for meetings, events, conferences, speaking engagements, interviews by compiling reports, notes, and relevant information as needed 
  • Autonomously manage the CEO daily for timely meeting attendance
  • Provide ongoing scheduling support for the Executive Leadership Teams and project leads
  • Serve as the primary contact for scheduling requests from internal and external stakeholders
  • Strategically plan schedules, provide balance throughout the day and optimize time by prioritizing conflicting requests
  • Anticipate scheduling conflicts and proactively resolve them to minimize disruptions
  • Communicate schedule changes and updates promptly and professionally
  • Prepare briefing materials, reports, agendas, minutes, meeting notes, and other relevant documents
  • Coordinate post-meeting follow-up, track priorities, and execution
  • Assist with registering for and supporting special events, conferences, and advocacy initiatives


  • Administrative Operations
  • Partner with the operations and executive leadership teams to prepare and facilitate the monthly All Hands meetings
  • Provide general administrative support as required, including data entry, file management, and correspondence
  • Handle confidential information with discretion and sensitivity


Desired Experience:

  • Prior experience as a scheduler or advance associate within the public sector (e.g., Congressional staffer) or relevant experience supporting C-suite executives required, this is not an entry-level role
  • Exceptional organizational skills, written communication, and attention to detail
  • Ability to manage high-pressure tasks, large workloads, and tight deadlines
  • Proven expertise in managing complex international and domestic schedules and travel itineraries, including managing frequent modifications and scheduling conflicts
